Benefits of a Database

What are the benefits of putting information into a database instead of a spreadsheet? Databases are far better at finding information. You can ask a database a question such as 'how many points were routed in Minneapolis today' or 'what was our completion rate in St. Louis last week' and get an immediate answer.

Databases organize your information in lists (like spreadsheets) but, unlike spreadsheets, you can also view your information as forms. A form can look like a paper form or can be designed as an online form. Forms provide a great way to get at the details. View all your installation jobs in a list, and with a click see the details on a particular job in a form view. Forms also help with data entry.

Databases ensure your information is accurate. Attractive pop-up lists, auto-complete fields, and other features make data entry fast and consistent. Import features guarantee the integrity of your data. Import your work orders directly into your Database from CSV, TAB or Excel files. There is no need to manually enter the orders. And all of the information is 100% consistent with the MSO's data.

A relational database connects your information together. You might have a list of Customers, a list of Billing Codes and list of Technicians. By connecting (or “relating”) these lists you will easily manage everyday administrative duties such as payroll and billing. While the more diverse and challenging responsibilities like compiling custom reports for taxes, licenses, insurance and the labor department become not only manageable, but effortless. We can even link database records to files such as photos, videos, and even Web pages (i.e., MapQuest, GPS Programs, etc.) to organize everything in one single source. Try doing that with a spreadsheet.

Databases do more than hold data. They help you solve problems, answer questions, and make decisions. We will create formulas, calculations, layouts and charts to help you analyze information and come up with answers to complex queries, then generate reports or web pages to help you share your insights.
